Instructions on how to prepare your presentation

Deadline: 8th of June, 2020



In view of the COVID-19 pandemic, COMM 2020 has been moved to a to a fully virtual conference.

We opted for a format where participants are organized as a team, in Microsoft Teams. The authors must sign in using their Microsoft 365 usernames and passwords. The conference sessions are setup as channels, for the COMM2020 conference team. Each registered participant can access any channel (i.e. conference session) she/he desires. Papers will take the form of a pre-recorded videos, that will be aired during the conference sessions, by the organizing committee, according to the COMM schedule. After each video presentation, authors are required to participate in a Q&A session. A short introduction to Microsoft Teams is available here.

The video presentations will be available during the original dates of the conference and on-demand after the conference concludes.

We request you to prepare and upload a video of your presentation, comprised of a brief introduction with webcam, if desired, followed by voice over slides for your presentation. This presentation along with your participation at the Q&A session will be considered as a replacement of your attendance at the conference and is a requirement for your paper to remain in IEEE Xplore. Please note that the file must be a video file in mp4 format (more details below). Please do not try to upload Powerpoint or PDF files.

The videos are to be verified by the organizing committee. Therefore, we urge you to prepare and upload them no later than the 8th of June. Please send the video file at contact@comms.ro (using WeTransfer, Dropbox or other means). The file name should be authorname_EDASID.mp4. For example, the name of the video file for the paper “Opportunistic Bistatic SAR Image Classification Using Sub-Aperture Decomposition”, ID 1570641680, authored by A. Focsa et all., should be FOCSA_1570641680.mp4.


Please use the following guidelines for preparing your video:

  • Invited speakers: duration 40 minutes, limited to 300MB file size
  • Regular Papers: duration 15 minutes, limited to 100MB file size
  • Sponsors’ presentation: duration 25 minutes, limited to 150MB file size
  • Video file format: mp4
  • Dimensions: Minimum height 480 pixels, aspect ratio: 16:9


We recommend two approaches for recording a compatible video:

  1. Record the presentation using the available features in PowerPoint. Please be advised that exporting to mp4 is possible from PowerPoint 2010 onwards. Instructions for recording are available here. For exporting the presentation as a video file, the instructions are here.
  2. Record the presentation using Zoom, available to users on most platforms and in most countries. Instructions are available here.

COMM2020 does not enforce the use of a specific recording software. You are welcome to use any other screen recording software (e.g., Camtasia, VidGrid), if you have access.


Tips on making a great video presentation:

  • Use as quiet an area as possible
  • Avoid areas that have echo
  • Rooms should be fairly small
  • Sound dampening with carpeting, curtains, furniture
  • Good headset with microphone close to mouth BUT away from direct line of mouth to reduce “pops”. Avoid using default built-in microphone on computer.
  • Do a test recording of a couple of minutes and review the sound and picture quality, MP4 format, and bit rate before recording the entire presentation. Make adjustments if needed.

Please make sure you test your presentation before uploading it!

We suggest you use the following checklist.

Requirement Check
The video is no longer than 40 minutes for invited papers, 15 min for regular papers, and 25 minutes for sponsor’s presentations.
The resolution is minimum 480p.
The maximum file size is 300 MB for invited speakers, 100 MB for regular papers and 150 MB for sponsors’ presentations.
The format of the video is .mp4.
Audio and video tracks are in sync at all times.
Included a picture-in-picture video window so that the presenter is always visible throughout the video (optionally).
The filename is authorname_EDASID.mp4.


As a reminder, videos that are not received by the deadline or not attending the Q&A sessions via Microsoft Teams will be considered no-shows in accordance with the COMM2020 non-presented paper policy.
